Winter Wonder-LAN 2026
Volunteer Liability Waiver and Code of Conduct
Saturday, December 5, 2026 · St. Clair College Esports Nexus Arena, 2000 Talbot Rd, Windsor, ON
Part 1: Volunteer Liability Waiver
By submitting the Winter Wonder-LAN volunteer form, I ("Volunteer") agree to the following in exchange for taking part as a volunteer at Winter Wonder-LAN (the "Event"), including setup, event day, and teardown.
- Voluntary participation. I am volunteering by choice and am not an employee. I will not be paid. My free admission and any food or items provided are not wages.
- Assumption of risk. I understand volunteering involves some risk, including lifting and carrying equipment, working near cables and electronics, long periods standing or sitting, crowds, food and allergens, and winter travel to and from campus. I accept these risks and take part at my own risk.
- Release. To the fullest extent permitted by law, I release and agree not to hold liable the Event organizers and team members, the Student Representative Council, St. Clair College, and their staff, directors, and other volunteers for loss, injury, or damage to me or my belongings arising from my volunteering, except where caused by their gross negligence or wilful misconduct.
- Health and fitness. I am able to perform the tasks I sign up for. I will tell a team lead about any health condition, allergy, or limit that affects my safety, and I may stop any task I feel is unsafe.
- Emergencies. I authorize Event staff to contact my emergency contact and to arrange emergency medical care if I cannot do so myself.
- Personal property. I bring belongings at my own risk. The Event is not responsible for lost, stolen, or damaged items.
- Equipment. I will treat Nexus Arena and Event equipment with care and report damage or problems right away. I understand St. Clair College venue rules apply.
- Photos and video. The Event is livestreamed and photographed. I understand I may appear in broadcast, photos, and recordings. If I did not tick the photo permission box on the form, I will tell a team lead so I can be kept off camera where practical.
- Minors. If I am under 18, my parent or guardian must also agree to this waiver and contact the team before the Event. Volunteers under 18 will not work alone with children or handle cash.
- Privacy. My information is used only to run the volunteer program and the Event. It will not be sold or shared outside the organizing team, the college, and as required by law.
- Governing law. This waiver is governed by the laws of Ontario, Canada. If any part is found unenforceable, the rest stays in effect.
I have read this waiver, understand it, and agree to it. Typing my name on the volunteer form is my signature.
Part 2: Code of Conduct
Winter Wonder-LAN is a cozy, welcoming, all-ages event. Volunteers set the tone. As a volunteer I agree to:
- Be welcoming. Treat every guest, player, caster, volunteer, and staff member with respect, whether they are a pro or have never played a game.
- No harassment or discrimination. No slurs, bullying, unwanted contact, or comments about race, ethnicity, religion, gender, sexuality, disability, age, or appearance. This applies in person, in chat, and online.
- Keep it kid-friendly. Children attend. Keep language, jokes, and content suitable for all ages. Never be alone with a child; stay in view of others.
- Be neutral. Do not favour friends or teams in tournaments. Report rule disputes to Tournament Ops instead of settling them yourself.
- Be reliable. Show up on time for your shifts. If you can't make one, tell your lead as early as possible.
- No alcohol, cannabis, or other drugs before or during a shift, and none on the premises.
- Follow venue rules. Follow St. Clair College policies, fire and safety instructions, and directions from your team lead and venue staff.
- Protect privacy. Do not photograph or share images of guests, especially children, outside Event channels. Do not share guests' or volunteers' personal information.
- Handle money and prizes with care. Only cash handlers collect payments. Report any shortfall or issue immediately.
- Speak up. If you see or experience a problem, tell a team lead right away. Reports are taken seriously and kept as private as possible.
Consequences. Breaking this code may lead to a warning, reassignment, removal from the Event, and, where needed, a report to St. Clair College or the authorities.
Safety first. In an emergency call 911 and tell a team lead. In a non-emergency, find any team lead in a Winter Wonder-LAN volunteer shirt.
Draft for Winter Wonder-LAN organizers. Have St. Clair College or the SRC review this before use, since the college may require its own volunteer form or insurance wording.
